Use a file server when Windows applications, Active Directory and granular file-share permissions matter. Use a SharePoint team site when teams need shared ownership and document collaboration across locations within Microsoft 365. It does not automatically solve remote access, permissions or backup. A file server runs file-sharing services and often ties into AD, line-of-business applications and Windows/Linux operations. SharePoint organizes documents in Microsoft 365 sites and groups. It supports team collaboration, but site design, external sharing and licensing still need governance. Microsoft recommends OneDrive for individual files and team sites for files with shared ownership.

Decision point

NAS

File server

SharePoint team site

Best fit

Large shared file sets at an office

Internal apps, AD, granular folder access

Documents shared across teams and locations

Remote access

Secure VPN/zero-trust design or protected gateway

Secure network access and server operations

Internet access plus Microsoft 365 identity policies

Operations

Disks, firmware, users, alerts, backup

OS, AD, storage, patching, backup

Tenant, licensing, sites, sharing, retention, backup

Cost drivers

Hardware, disks, power, warranty, support

Server/VM, licenses, storage, support

Licenses, migration, storage, administration

Five questions to settle before choosing

1. How do applications read files? Accounting, CAD/BIM and older business software may depend on SMB paths, NTFS permissions or stable local-network performance. Do not move such workloads to SharePoint just because cloud sounds simpler. List the applications, file types, concurrent users and vendor requirements first.

2. Who owns the data? A personal draft is different from a department-owned record. Microsoft separates OneDrive for individual work from SharePoint team sites for routinely shared files. NAS and server shares also need named business owners, not just a shared administrator account.

3. Can you explain access in a matrix? Record who may read, edit, share externally, approve and administer each area. Define who approves new access and who removes it when an employee leaves. Complex inherited permissions require testing with real user accounts. See our guide to controlling SharePoint sharing.

4. What is the recovery plan? RAID, snapshots, synchronization and version history solve different problems. None should be assumed to replace a backup plan with a tested restore. Set priority data, acceptable recovery time and ownership of backup credentials.

5. Who operates it after handover? On-premises NAS and servers require health monitoring, updates, access review and backup checks. SharePoint still needs identity, site, guest sharing, license and data-lifecycle administration. Compare multi-year ownership costs, not just the first purchase.

When does a hybrid model make sense?

A business may retain application data that requires SMB on a file server, place shared project documents in SharePoint and use a NAS for a separately designed workload. Hybrid only works when every dataset has a source of truth, sync direction, permission owner, conflict process and backup method. Blind two-way synchronization can multiply errors.

For example, an office with multiple branches could use SharePoint team sites for shared Office documents while an internal application remains on a server reached through a protected connection. This is an illustration, not a default prescription for every customer.

Migration is more than copying files

Inventory size, file types, long paths, duplicate or obsolete data, business owners and current permissions. Map each source folder to a destination site, library or share. Pilot a limited group, then test opening and editing, external sharing, leaver access and application dependencies. Microsoft’s migration guidance explains that mapping file-share permissions into SharePoint depends on identity and migration settings; do not assume that every source permission survives unchanged.

For cutover, define a change freeze, file-count and volume reconciliation, issue list and rollback point. Ask the business owner to sign off before directing everyone to the new location. Retire the old share only according to an agreed retention plan. Test with real user accounts, not only administrators.

What should the proposal and handover include?

Separate discovery, permission design, hardware or licenses, configuration, migration, backup, testing and post-project operations in the quote. NAS and file servers incur hardware and upkeep; SharePoint incurs license and administrative work. A meaningful price requires user count, storage volume, applications and availability requirements.

Ask for a data map, named owners, access matrix, business-owned administrator access, access/restore test results, backup schedule and joiner/leaver procedure. A working device alone is not a complete handover.

Frequently asked questions

Can NAS replace a file server? It may replace suitable file-sharing use cases, but not automatically an application server, AD or an established permissions model.

Do we still need backup with SharePoint? Define deletion, account compromise, retention and recovery scenarios, then test recovery against business requirements.

Is the file server obsolete? No. It remains appropriate where software and access depend on SMB or AD. Compare that fit with its operational cost.

Will a migration preserve permissions? Do not assume so. Microsoft’s permission-mapping guidance should inform a pilot and user-level acceptance tests.

Choosing business storage?

Share your user count, locations, applications, data volume and access concerns.
